HR & payroll, from hiring to payslips

Everything the HR & Payroll plugin does, in the order you'll use it: setting up, hiring, daily attendance, leave, the monthly pay run with PF, ESIC and professional tax, and what employees do from their phone.

Company owner

Company Admin

Turns on the HR plugin, sets up HR once, gives HR rights, and is the only one who approves attendance corrections after a month is paid.

HR manager

HR Manager role

Adds employees and records changes, marks and reviews attendance, approves leave and overtime, and runs payroll: prepare, approve, pay.

Team lead or supervisor

HR view + approve

Make a role with HR View and Approve: they see the team's attendance and leave and approve overtime and leave, without editing employee files or running payroll.

Accountant

Accountant role

Sees HR (view) and the payroll entries in the books: salaries, dues payable and payments.

Every employee

no role needed

With their login linked to their employee record, they clock in and out, apply for leave, and download their payslips.

Set up once

Settings → HR. The defaults suit most businesses; change what's different for yours.

    Work week and holidays

    Weekly off (Sunday by default), optional 2nd and 4th Saturdays off, and national holidays; add your state's festivals.

    Shifts

    Start and end, grace minutes before someone counts as late, and the unpaid break. Night shifts that end after midnight stay on the day they started.

    Attendance options

    Choose how people record attendance and what counts.

    • Self clock-in on phone, and a shared attendance kiosk with PINs
    • Auto-absent: unmarked past workdays count as unpaid absence
    • Pay approved overtime, at your rate (125% by default), and the half-day threshold

    Leave types

    Casual, sick, earned, maternity and unpaid leave are ready. Set each type's yearly or monthly grant, carry-forward cap, half days and proof rules, and when the leave year starts.

    Payroll

    Salary templates split pay into Basic, allowances and the rest (monthly, day-rate or hourly pay). Choose how an unpaid day is valued (calendar days, 30 or 26) and whether to book gratuity monthly.

    PF, ESIC, professional tax and LWF

    Switch each on or off, enter your PF and ESIC codes and your professional tax state. Slabs for Maharashtra, Karnataka, West Bengal, Gujarat, Telangana, Andhra Pradesh and Assam are built in; add your own for other states.

    Probation, notice, pay day and checklists

    Default probation and notice periods, the day salaries are paid, and the joining and exit checklists every new hire and leaver gets.

Employees, from offer to exit

Hire

Add a person as an offer, joining soon or working now. They get a code (EMP-0001), the joining checklist and a probation end date.

Their file

Work, personal details, IDs and bank, documents with expiry reminders, assets handed out, and their salary template and pay.

  • PAN, UAN, ESIC number, bank account and IFSC or UPI ID
  • Documents expiring in 30 days are flagged

Changes with a date

Raises, promotions, transfers and shift changes start on the date you give. Payroll uses the pay valid on each day, and a back-dated raise shows the back pay due.

Notice and exit

Start notice with a last day and the exit checklist begins. Bundle lists what's still out (laptop not returned, handover not done) before you mark them as left.

Daily attendance

    People clock in

    From their phone, or at a shared kiosk with their PIN. Late arrivals are marked from the shift and grace. Clocking in again after lunch or a site visit adds another session to the same day.

    Or a manager marks the day

    Mark everyone present in one tap, then change the exceptions: absent, half day, late, with overtime hours if any.

    Leave and holidays fill themselves

    Approved leave, weekly offs and holidays appear on their own; nobody marks them.

    Review before the month closes

    Missed clock-outs and overtime waiting for approval are listed. Overtime counts only once approved.

    Payroll locks the month

    After payroll, a changed day needs a correction request that the owner approves; the difference goes on the next payslip as arrears.

Leave

  • Balances are worked out from the rules: yearly or monthly grants, a share for people who join mid-year, waiting periods and carry-forward up to the cap.
  • Employees apply from their phone, or HR enters it. Only working days are counted, and half days where the type allows.
  • If someone asks for more than their balance, the extra days become unpaid and payroll deducts them.
  • Approve or decline in the Leave tab; cancelling approved leave gives the days back until payroll locks the month.
  • A team calendar shows who's off, and each employee's Leave tab shows their balances and history.

Monthly payroll in four steps

HR → Payroll, after the month ends.

    Check

    Bundle lists what blocks the month (unmarked days, open clock-ins, overtime or leave waiting for a decision) and what to fix first (missing bank details, PAN or UAN, PF and ESIC codes). It also shows who joined or left this month.

  2. 2

    Add one-off amounts

    Bonus, incentive or commission, a reimbursement, or a deduction such as canteen or damage. Hold anyone you won't pay this month.

  3. 3

    Review

    Every payslip shows earnings, deductions and your own costs, with alerts for negative pay, a change of more than 20% on last month, or missing bank details.

  4. 4

    Approve, then pay

    Approving posts the month to accounting: salaries as an expense, each government due to its own account, and net pay as salaries payable. Then pay by bank or cash and mark people paid.

    • Download the bank file (CSV) for your bank's bulk payment
    • Undo an approval while nobody has been paid
    • Payslip PDFs for every person

What employees do from their phone

No HR role needed: their login just has to be linked to their employee record.

Questions people ask

Who can approve leave and overtime?
Anyone whose role has HR → Approve. The starter HR Manager role has it. Approving payroll needs HR → Post, and undoing an approval needs HR → Cancel.
Can staff clock in more than once a day?
Yes. Clocking in again after clocking out (lunch, a site visit, a split shift) adds another session to the same day. Worked hours add up the sessions, and time away counts toward the unpaid break.
What if attendance changes after payroll has run?
That month is locked. HR asks for a correction, the company owner approves it, and the difference is paid or recovered as arrears on the next payslip.
Does Bundle work out PF, ESIC and professional tax?
Yes. PF on basic up to ₹15,000 (or on the full basic), ESIC by contribution period, professional tax by state with the February top-up, and the labour welfare fund. Each can be switched off, and the professional tax slabs can be edited.
Can employees see their payslips?
Yes. Once a month is approved, each employee downloads their own payslip PDF from their phone. They never see anyone else's.
Is the employee's salary visible to everyone in HR?
Salaries are visible only to roles with HR view. Give HR rights to the people who run payroll; everyone else uses self-service.
