Bookings, deposits, recurring bills and reminders
Four engines sit under the industry plugins: reminders, recurring bills, bookings and deposits. Here is what each does, then each plugin's day, in the order you'll use it.
Reminders
Reminders, from any industry screen or Sales.
- Fees and rent due in the next three days or overdue (one message per student or tenant, with the total owed)
- Leases ending within 60 days, memberships ending this week or just ended
- Hotel guests arriving tomorrow, tables booked for today, clinic appointments tomorrow
- Travel instalments due, and any sales invoice overdue
- Each comes with the message written, ready for WhatsApp or SMS; you tap send. A notice is sent once; an overdue one comes back every three days until it's paid.
Recurring bills
School fees and rent bill themselves.
A plan
Either an amount every month (or every few months) from a start date, like rent, or fixed instalments with due dates, like school terms.
On its date
Each bill is raised on its day (school fees a set number of days before they're due). A bill raised late is never due before the customer could have had it, so it doesn't arrive with a late fee.
Late fees and rises
A late fee is charged once on a bill left unpaid past the grace days; rent can rise by a percentage every year.
Pause, renew, close
Pause (the months in between aren't billed), renew at a new rent, or close with a reason. What was billed stays due.
Advances and deposits
Money taken before the service is held, not counted as income.
- A room advance, a party table deposit or a tour booking amount is held in customer advances; the final bill uses it first.
- A lease's security deposit is held in security deposits until move-out.
- Refund all or part of it, or keep part as a charge (a no-show, a cancellation, damages): that's a bill with GST, paid from the deposit.
- Every deposit has a receipt you can print or share.
Restaurant

Seat or book
Seat walk-ins on a free table, or book a table ahead (best-fit table, held two hours, a deposit for a party). Booked tables show on the floor plan.

Take the order
Tap dishes to add them; customise one for add-ons (extra cheese, priced) and kitchen notes (less spicy). Send the new items to the kitchen as a ticket.

Move or merge
Move the guests to another table with their order and tickets, or merge two tables into one bill.

Bill
Show the bill first if they ask, then take one payment, split equally between people, or let each person pay for their own dishes.

Takeaway and delivery
Orders without a table use the same menu and kitchen; a delivery carries your delivery charge and the address.
Hotel

Reserve
Pick the dates, then one of the rooms free for them; take an advance, the number of guests and ID proof. A two-week calendar shows every room's nights.

Check in
Today's arrivals show on the room rack. Check them in with ID proof; a walk-in books the room for their nights too.

The stay
Add charges to the guest's folio; extend the stay only if the room is free.

Check out
One bill for the stay; the advance pays first. Cancel (refund or keep part) or mark a no-show. Room types have one rate each.
Clinic

Book a slot
Each doctor has working days, sessions and minutes per patient; book a free slot. A reminder is ready the day before.

Arrival
The patient gets today's token. Their record (age, allergies, past visits and prescriptions) opens from the visit.

Consultation
Notes and diagnosis, then the prescription: medicine, dose (1-0-1), days and how to take it.

Pharmacy and bill
Medicines are given from in-date stock, the earliest batch first; expired batches are listed to write off and never given. The bill prints the prescription.
School
- Fee plans per class: instalments with due dates and amounts, a late fee and how early bills go out
- Admit a student into a class and section, with a concession on every instalment; the current term is charged if you choose
- Collect in full or part, with a receipt; remind guardians on WhatsApp
- A new school year moves everyone up a class with next year's fees; the last class leaves
Real estate
- Let a unit on a lease: start, months, rent, the day it's due, a late fee and a yearly rise
- Take the security deposit when the lease is signed
- Rent is billed every month, with GST on shops and offices; overdue rent and leases ending are flagged
- Renew, pause or end the lease; at move-out keep deductions from the deposit and refund the rest
Travel
- Packages, and departures for them with a seat limit; sold-out departures can't be booked
- A booking amount now, the balance in up to three instalments, the last a week before departure
- Invoice the trip when it's time: what was paid is set against it
- Cancel by your refund rules (by days before departure); the rest is kept as a cancellation charge
Gym
- Your own plans: months and price
- Check members in at the desk (once a day; not while frozen or after expiry)
- Freeze a membership; the days come back when they return
- Renew on any plan; expiry reminders on WhatsApp
Questions people ask
- Do bills for fees and rent go out by themselves?
- Yes. A fee plan or lease raises each bill on its date, with a late fee if it stays unpaid past the grace days. It happens when someone allowed to bill opens the app, so open it at least every few days.
- Does Bundle send WhatsApp messages for me?
- It writes the message and opens WhatsApp (or SMS) with it, addressed to the customer; you tap send. Nothing goes out without you, and Bundle remembers what was sent.
- Where does an advance or a deposit go in the books?
- An advance (a room or tour booking amount) is held in customer advances until the final bill uses it. A security deposit (a lease) is held in security deposits until it's paid back. Neither is income until it's used or kept as a charge.
- Can a guest or customer get their money back?
- Yes: refund all or part of what's held, or keep part as a cancellation charge (a bill with GST) and refund the rest. Travel bookings follow your refund rules by days before departure.
